Every carrier commission statement checked against your book of groups — every month

For small employee benefits agencies and one-person benefits advisors: upload the monthly commission statements from your carriers, and each line is matched to the group, the enrolled lives and the rate you expect. Missing groups, short payments and changed rates are flagged in one list.

Example (fictional data)

A two-person benefits agency with 64 small groups across five carriers. In March one carrier paid nothing for three groups that renewed in January, and another paid the old per-employee rate for a group that grew from 18 to 26 lives. The reconciliation lists the five groups, the expected amount and the amount paid, so the agency knows exactly what to raise with each carrier.

How it works

A benefits agency is paid by the carriers, not by the employers it serves. Every month each carrier sends a commission statement: a list of groups, enrolled lives, premium and the commission paid. For a small agency with dozens of groups across several carriers, those statements arrive in different formats and on different dates.

Errors on the statements are common and easy to miss. A group that renewed may drop off the statement, a rate change may not be applied, enrolled lives may be counted from an old census, or a payment may simply be late. Unless someone compares every line with the agency's own book of business, the money is never claimed.

Commission Recon does one narrow job. You keep your book of groups with the carrier, the effective date, the expected per-employee rate or percentage, and the number of enrolled lives. Each month you upload the carrier statements as files, and every line is matched to a group in your book.

The result is one list per month: groups that were paid as expected, groups that were paid less, groups that were not paid at all, and lines on a statement that do not belong to any group you know. Next to each discrepancy you see the expected amount, the amount paid and the difference.

Changes are tracked month over month, so a new rate, a drop in enrolled lives or a group that moved to another carrier is visible as soon as it appears on a statement. When you contact a carrier, you have the group, the months and the amounts in front of you.

Setting up takes one sitting. You import your book of groups from the spreadsheet you already keep, with the carrier, the group name or number, the effective date and the commission basis for each group. When a statement uses a different name or number for a group, you confirm the match once and it is remembered for the next months.

A short summary goes out after each upload: how many groups were matched, how many were paid as expected and the total amount that looks missing or short. A quiet month is reported as well, so you know the check ran and nothing needs attention.

All reconciliations are kept by carrier and by month. At the end of the year you can see how much was recovered, which carriers are late most often and which groups need a closer look at renewal.

The service is built for small benefits agencies and independent advisors who do the reconciliation themselves in spreadsheets today. It reads only the statements and the book you upload; it does not contact carriers for you and does not replace your agency management system. It is in preparation, and we are checking first whether agencies need it.
